AI appointment booking by phone and WhatsApp for clinics and small businesses (2026)
How an AI agent books, cancels and reschedules appointments by phone and WhatsApp: availability from your services and hours, one column per professional, Google Calendar sync, automatic confirmations and reminders by email or WhatsApp template, a test mode that books nothing, the call-recording notice, and what it costs.
Short answer. Yes, there is AI that books appointments by phone and by WhatsApp for a small clinic. In ContactShip, a contact center platform with AI agents for phone calls and WhatsApp, a voice agent and a WhatsApp agent work on the same Agenda: they check availability, book, cancel and reschedule appointments while talking or chatting with the patient. Availability comes from your services, their duration and each professional's hours; appointments sync to the Google Calendar of the person who attends; and the Agenda sends a confirmation and reminders by email or WhatsApp template. A test chat runs the whole flow without booking anything. Plans start at USD 49 a month, with 2 WhatsApp channels on Pro (USD 150), and a 7-day free trial with no card.
This guide is written by the ContactShip team. Product facts come from the ContactShip app (Agenda, agent tools and notification settings), as of October 20, 2026; WhatsApp rates come from Meta's official rate card in USD, effective October 1, 2026.
What the agent does with your calendar
| Action | What happens in ContactShip |
|---|---|
| Checks availability | Reads free slots from the service's duration, the professional's hours and existing appointments |
| Books | Creates the appointment with the service, the professional and the patient's details |
| Finds a booking | Looks up the patient's existing appointments |
| Reschedules | Moves the appointment to a time the patient picks |
| Cancels | Cancels it and frees the slot |
| Records the origin | Every appointment shows whether a person or the agent booked it |

The same Agenda tools are available to voice agents, for calls, and to WhatsApp agents, for messages. Voice agents can also book straight into Google Calendar with a check-availability and create-booking tool, without the Agenda.
How availability is set up
- Services. Each one has a duration, a price and a description the agent uses to explain it when a patient asks. With a price of 0, the agent says it is free.
- Buffer between appointments. Blocked time before or after, to prepare the room or close the record.
- Hours. A weekly schedule, day by day, with split shifts (morning and afternoon).
- Team and locations. One column per professional; with more than one location, each person belongs to one and the Agenda filters by location.
- Your words. "Cita", "turno", "consulta", "doctor" or "profesional": you define the vocabulary, and the agent uses it.

Google Calendar
Each appointment can be created as an event in the Google Calendar of the professional who attends it, with the patient invited and a Google Meet link for video appointments. Changes that come from Google Calendar appear in the appointment's activity. A professional without Google Calendar connected keeps working in the Agenda; their appointments just don't sync.
Confirmations and reminders
The Agenda's automatic notices go out on their own:
- Confirmation: as soon as the appointment is booked.
- Reminders: minutes, hours or days before; you can add more than one.
- Channels: email, or WhatsApp with an approved template from the number you choose.
- Recipients: the patient, the professional, or other people.
Every notice is logged in the appointment's activity. Source: ContactShip Agenda notification settings, October 2026.
A WhatsApp reminder is a template, so Meta charges it at the customer's country rate. A reminder is usually a utility template:
| Patient's country | Utility template | 500 reminders a month |
|---|---|---|
| Colombia | USD 0.0008 | USD 0.40 |
| Mexico | USD 0.0085 | USD 4.25 |
| Argentina | USD 0.026 | USD 13.00 |

An example: Clínica Sonrisa
Clínica Sonrisa is a fictional dental clinic in Mexico City with two dentists.
- Tuesday, 9:12 p.m., WhatsApp. A patient writes: "¿Tienen lugar para una limpieza el jueves?" The WhatsApp agent checks the Agenda and offers Thursday at 10:00 with one dentist or 16:30 with the other.
- The patient picks 16:30. The agent books it. The appointment appears in that dentist's column and in her Google Calendar, marked as booked by the agent.
- Right after, the Agenda sends the confirmation by WhatsApp template.
- Wednesday, 4:30 p.m., the reminder goes out, 24 hours before.
- Wednesday, 6:05 p.m., phone. The patient calls: something came up. The voice agent finds the booking, offers Friday at 11:00 and moves it after the patient confirms.
The front desk did nothing. If the patient had asked about a treatment plan, the agent would have handed the conversation to a person.
Test it without booking
The Agenda has a test chat where you talk to the agent as a patient would. It is a simulation: nothing is really booked and no customer is notified. Use it to check that the agent offers the right services, durations and hours before you connect it to a real number or WhatsApp.
Recording calls: the notice
When the voice agent records or transcribes a call, that is processing personal data in Mexico, Colombia, Argentina, Peru and Chile, and the opening message has to say who is responsible, that the call is recorded, why, and where the privacy notice is. In Mexico, health data needs written consent. The country-by-country rules and a sample opening message are in our AI receptionist checklist for Spanish-speaking callers. This is not legal advice.

Frequently asked questions
Is there an AI that books appointments by phone and WhatsApp for a small clinic?
Yes. In ContactShip, a voice agent and a WhatsApp agent book, cancel and reschedule appointments on the same Agenda, with availability from your services and each professional's hours, and sync them to Google Calendar. Plans start at USD 49 a month with a 7-day free trial.
Can the AI reschedule or cancel an appointment?
Yes. The agent finds the patient's booking, offers the open slots and moves it, or cancels it and frees the slot, by phone or by WhatsApp.
Does it work with Google Calendar?
Yes. Each appointment can be created in the Google Calendar of the professional who attends it, with the patient invited and a Google Meet link if the appointment is online.
Does it send appointment reminders?
Yes. The Agenda sends a confirmation when the appointment is booked and reminders minutes, hours or days before, by email or by WhatsApp template, to the patient, the professional or others. WhatsApp templates carry Meta's fee: USD 0.0085 per utility template in Mexico (Meta's USD rate card, effective October 1, 2026).
Can I test the booking agent without affecting real patients?
Yes. The Agenda's test chat is a simulation: nothing is booked and nobody is notified.
How much does an AI appointment booking agent cost?
In ContactShip, plans are Starter at USD 49 a month (about 140 call minutes at USD 0.35 per minute), Pro at USD 150 and Growth at USD 799, plus USD 10 a month for a local number (USD 15 in Colombia) and Meta's fee for WhatsApp messages. There is a 7-day free trial with no card.
What to do next
- Most bookings come by phone: start with the voice agent on a local number, and forward your line only when nobody answers.
- Most bookings come by WhatsApp: connect WhatsApp Business and turn on the WhatsApp agent first; read WhatsApp AI agent for customer service in Spanish.
- No-shows are the problem: turn on the confirmation and one reminder, and check what each costs in your patients' country.
- Before going live: write the recording notice for your country and run the test chat.
- Ready to try it: start the 7-day free trial, no card needed, or read the overview of ContactShip in English.
